Appointments and Cancellations

Booking an appointment at Michael Woods Orthodontics means you are agreeing to attend at the scheduled time. We ask that all patients:

  • Provide at least 24 hours’ notice if they need to cancel or reschedule
  • Contact the practice as early as possible if running late

We understand that life is unpredictable. If you need to cancel, please call us on (03) 9509 7496 as soon as you know so that we can offer your appointment time to another patient.

Repeated missed appointments without notice may affect your ongoing access to treatment scheduling.

For new patients: An initial consultation is required before any treatment is commenced. This appointment involves a full examination, a discussion of clinical findings, and a conversation about your treatment goals. Not every initial consultation will result in immediate treatment commencement.

Treatment, Consent, and Patient Responsibilities

Before any orthodontic treatment begins, we will discuss the proposed treatment plan, the expected outcomes, any risks or limitations, and the costs involved. You will be asked to provide your written consent before treatment proceeds.

For patients under 18, a parent or legal guardian must provide consent on the patient’s behalf.

As a patient of Michael Woods Orthodontics, you agree to:

  • Attend scheduled appointments and follow the treatment plan as discussed
  • Maintain good oral hygiene throughout your treatment period
  • Follow dietary advice to protect your appliances and teeth
  • Wear retainers as instructed following the completion of active treatment
  • Contact the practice promptly if an appliance breaks, becomes loose, or is causing significant discomfort
  • Inform the practice of any changes to your medical history, medications, or health status

Orthodontic treatment outcomes depend significantly on patient cooperation. The practice cannot be held responsible for outcomes that are affected by a patient’s failure to follow reasonable clinical instructions.

Fees and Payment

Fees for orthodontic treatment at our Armadale practice will be discussed with you in full before any treatment begins. We believe in being transparent about costs so there are no surprises.

  • A treatment fee estimate will be provided following your initial consultation
  • Payment plans and stage payments may be available and will be discussed with you personally
  • We accept most major health funds and can process claims at the time of your visit, where applicable
  • Any changes to your treatment plan that affect the overall fee will be discussed and agreed with you in advance

Accounts are expected to be settled in accordance with the payment arrangement agreed at the start of treatment. If you have a concern about your account, please speak to our practice manager directly.

Health Fund and Insurance

We work with a wide range of health funds and will assist you in understanding your entitlements where possible. However, the level of orthodontic cover varies considerably between funds and policies. It is your responsibility to check the details of your own health fund cover.

We recommend contacting your health fund directly before commencing treatment to confirm what rebates apply to your situation.
